Legalization of documents

Requirements for legalization of documents issued in the USA

In order to be recognized in the Republic of Moldova, the documents issued by the federal, state and local authorities of the USA (birth, marriage, death, divorce, adoption, paternity and medical certificates, criminal records, deeds, articles of incorporation etc) or authenticated by public notaries (powers of attorney, declarations, affidavits, confirmations, contracts etc) have to be confirmed with the Apostille stamp by the office of the Secretary of State in the state where the documents were done or issued. Thus, these documents DO NOT need to be legalized at the Moldovan Embassy to the USA.

Example no 1:

If your power of attorney was authenticated by a public notary in Los Angeles, CA, in order for this power of attorney to be valid and recognized in the Republic of Moldova it has to be confirmed with the Apostille stamp by the Office of the Secretary of State of California that can be contacted at the following address - California Office of the Secretary of State, Business Programs Division, Notary Public Section, P.O. Example no 2:

If the birth certificate was issued by the Office of Vital Records of the city of New York, NY, in order for this certificate to be valid and recognized in the Republic of Moldova it has to be confirmed with the Apostille stamp by the Office of the Secretary of State of New York that can be contacted at the following address - New York State Department of State, Division of Corporations, State Records and Uniform Commercial Code, 99 Washington Avenue, 6th floor, Albany, NY 12231; working hours 9:00 a.m. - 4:30 p.m., tel: (518) 473-1001;

Example no 3:

If the criminal record was issued by the Police Department of Dallas, TX, in order for this certificate to be valid and recognized in the Republic of Moldova it has to be confirmed with the Apostille stamp by the Office of the Secretary of State of Texas that can be contacted at the following address - Secretary of State, Authentications Unit, 1019 Brazos, B-13, Austin, TX 78701, Walk-In Service: Room B-05, working hours 9:00 a.m. - 4:30 p.m., tel: (512) 463-5705;

Additional information regarding the Apostille stamp within a specific office of the Secretary of State has to be enquired at that particular office. Generally, the requests for an Apostille stamp can be sent by mail or submitted personally.

In order to be recognized in the Republic of Moldova, the documents issued by the Canadian authorities (birth, marriage, death, divorce, adoption, paternity and medical certificates, criminal records, deeds, articles of incorporation etc) or authenticated by public notaries (powers of attorney, declarations, affidavits, confirmations, contracts etc) have to be legalized by the Department of Foreign Affairs and International Trade of Canada and then supra legalized by the Embassy of the Republic of Moldova in Washington D.C (or in Ottawa).
